The Role: Program Coordinator & Executive Administrator

We are a group of imperfect people, working to bring support and healing to those who need it. Ashley Jones is our founder and executive director - the leader and creative visionary who you will join on staff and support directly.

Our goal each day is to steward our energy, emotions, donations, time, skills, and relationships well. We admit, it can be heavy stuff sometimes, but we work through it together. We’re continually growing, learning, and improving to be our best, and we’re looking for someone excited to join us on this adventure.
As the Program Coordinator and Executive Admin, you will be at the heart of our community helping Ashley love and support people. You’ll handle a number of administrative tasks to help us keep our systems running smoothly. As a small team, your ideas, input, and impact truly shape our organization and its future as a part of your legacy.

You are joining at a really exciting time! We are scaling to a national level, recruiting and training photographers across the country, and creating unique tools and resources to unite our diverse community segments online.

The Details

Salary: $40,000 (or $25/hour)
This salary is for 30 hours per week. If we find an amazing person and you have other needs, we are willing to discuss that with you, but this is truly the max our budget will allow at this time. There are opportunities for growth and performance bonuses if we hit our annual fundraising goals.

Requirements:
This team member must be able to thrive in a remote work environment with minimal supervision. You will be directly supporting Ashley, who is a great visionary and creative leader (who has a unique way of operating with high-functioning ADHD). She's amazing, but you will truly need to be kind of person who doesn't let anything fall through the cracks.

Strength in learning and technology is a top priority. Familiarity with Google Suite, Hubspot, Asana, and Slack is helpful as we use all of those platforms daily. You will also be required to learn our custom community platform as well as donor CRM for tasks and coordinating.

Trial Period:
All new team members undergo a 3-month trial period to ensure mutual fit and alignment with our values. Regular check-ins will be conducted to provide feedback and support your transition.
Qualities and Skills:
To succeed in this role, you will need strong organizational skills, task-management skills, creative problem-solving skills, and a desire to learn and grow within a dynamic, fast-paced, supportive environment. We are looking for a person who is confident, self-aware, empathetic, and intentional.
Responsibilities: 
Community Engagement – Build meaningful relationships with community members through phone conversations, handwritten notes, and thoughtful emails in addition to updates and posts within the online community.

Platform Management – Approve and manage community member applications, assign roles, send communication as needed, and ensure adherence to community guidelines.

Photographer Support –Attend bi-monthly photographer training sessions (including three weekends per year) to introduce yourself and assist with Q&A sessions, ensuring smooth onboarding and ongoing support. Serve as a point of contact for photographers, assisting them with platform navigation and coordinating their engagement with families (ongoing).

Feedback and Reporting – Gather feedback from community members to identify areas for improvement. Provide weekly updates to the team on community highlights and impact.

Donor Support – Help Ashley thank donors, share impact, send out annual receipts, and input donations via check into our fundraising software as they come in.

Executive Support – Assist Ashley with scheduling, paying bills, updating profiles, and other administrative tasks. Additional duties may be assigned as needed.
